Aid Station Lead and Volunteers
This Lead will personally oversee the staffing and supply of all the race’s aid stations. For staffing needs, the director will ensure that all volunteers and staff are trained in aid station procedures, Including how to hand-out cups and bottles to athletes who will be moving through an aid station area. This director needs to ensure that aid station supplies are adequate. He or she will also need to supervise setup and cleanup of all aid stations or designate someone who is trained to do this task.

Aid Station/Waterstop volunteers will be on course or at the finish line area available to hand out drinks and snacks as available at each station. They should also have necessary equipment to contact RD or emergency personnel if needed, document and photographs any incident that may happen in their area.

This person is responsible for acquiring, distributing, and returning all modes of communication other than personal cell phones. If using multiple-channel communications, this director is in charge of setting up channels, and ensuring that communication with the race personnel, athletes, volunteers, medical, etc. is working throughout the event, as well as ensuring that a functioning back-up plan is in place
if primary communication fails.

Swim Course Lead and Volunteers High Priority

Details

Swim Course Lead is charged with overseeing all details regarding the swim course. This entails setting up the start line; the finish line; and any other parts of the course, such as signs and banners. Additionally, the swim course coordinator will need to coordinate with water safety personnel and make sure everything is in place before the race is started. Depending on the missing swimmer plan, the swim course director will be in close contact with the transition area coordinator.

Volunteers will help set up pool, line up athletes, help with start, and direct athletes safely to transition. They should have the necessary equipment to contact RD or emergency personnel if needed, document and photograph any incident that may happen in their area.

The Bike Course Lead is charged with overseeing all aspects of the bike course. This involves setting up cones, delineators, signs, banners, chalk, paint, and any other means of marking the course. It also means maintenance of the course during the race, ensuring that course markings do not disappear or get moved. These coordinators will want to be sure that aid stations are being set up, police/traffic control is in place and that the course is cleared of debris. For smaller races, the aid station functions may fall under the umbrella of the bike and/or run course director.

Bike Course Volunteers will be course marshals stationed at intersections to direct the athletes during the bike section. They should also have the ability to contact emergency services if needed, document and photograph any incident that may happen in their area.

Recycling/Green Lead:
This person is in charge of all recycling and sustainability programs in place at the event. This includes planning what programs will be put in place, recruiting volunteers to support each initiative and implementation on race day. The Green Lead may have a support staff or committee that includes outside vendors, the volunteer coordinator, a recycling logistics coordinator, and perhaps even a local community representative. The Green Lead will work closely with the race director, course and aid station directors, the volunteer director and anyone involved in budgeting processes.

Registration/Packet Pickup Lead and Volunteers
This group is responsible for packet pickup and organizing athlete registrations. The Lead person(s) Should also ensure that USAT membership cards and photo IDs are verified for each participant. If an athlete is buying a USAT one-day license or annual membership at the event, the fee should be collected and the athlete signs the USAT waiver. The athletes will also be given race numbers, swag, goodie bags, and other items at packet pickup.

The Lead will oversee setup, maintenance, and cleanup of the Registration and packet pickup area. Other Volunteers will assist with these duties.

This person will be heavily involved in planning all elements of the race and for maintaining safety standards throughout the entire event. USA Triathlon suggests that the safety director to be a different person than the race director. The primary reason for this is so that one person is tasked with knowledge and follow-up in case of any serious incident. Race Directors have many varied responsibilities that it is critical to have a designated person with intimate knowledge of any safety-related issues as they take place.

It is a good idea to have one person in charge of all security personnel. This Lead can either work a security post or not, depending on how he or she can be most effective at responding to security concerns. Transition Lead:
This person is in charge of setting up, maintaining, and tearing down the transition area. Maintenance of the transition area includes putting up and taking down all fencing, signs, banners, and bike racks; directing and coordinating volunteer and security efforts; and ensuring quality traffic flow through the transition area at all times. This is one of the most important staff positions and carries with it great responsibility. The Race Director should be in almost constant contact with the Transition Lead on the race day.
