Race Operations

Parking Medium Priority

Details

Volunteers will greet participants and provide direction to parking areas and ensure they don't park in reserved areas.

The race site is at the WSU VETMED School Parking Lot. There are two entrances to it. Vendors, staff, and those unloading equipment receive priority parking at the event site. Volunteers may park at the event site as space and timing allow. Your role is to maintain communication with the volunteer coordinators and event leadership team regarding timing and space allocation at the event site to facilitate entry and exit from the parking lot.

• Check in at the designated check-in location, pick up a volunteer shirt, and sign the waiver if needed.
• Safety vests must always be worn when assisting with parking or managing barricades.
• Move barricades as needed to allow vehicles in and out, then replace them immediately to maintain traffic control.
• Always prioritize the safety of pedestrians and participants when vehicles are entering or exiting.
• It’s Saturday, so many parking spots are free, but those parking off-site still need to be respected and abide by WSU parking signage. Show those not authorized to park in the lot available locations on the parking map.
The team will need to split between opening and closing the entrance to the parking lot, as well as guiding cars and vehicles into the south two parking lanes.

Vendor Parking
• Vendors are permitted to park on-site with priority.
• Direct vendors to the designated vendor parking area

Volunteer Parking
• Volunteers may park on-site as space allows.
• If on-site parking is full, volunteers should be directed to the CUE Garage

Participant Parking
• Participants are not allowed to park on-site.
• Direct them to nearby parking areas

Tips for Parking Staff
• Greet drivers courteously and provide quick, clear instructions.
• Keep vehicle flowing smoothly to avoid congestion near the race site.
• Be aware of the timing for when roads in the vicinity of the start/finish area will be closed and communicate that to those parking. Reference Barricade Plan.
• Report any unsafe situations immediately to event leadership or campus police.
• Maintain a calm and positive demeanor — parking is often the first impression participants and vendors have of the event.

Course Marshalls Low Priority

Details

Volunteers positioned along the course to direct runners, and cheer participants as they run by. Call for assistance if needed.

Stay visible and enthusiastic. Direct participants at turns or confusing spots and watch for anyone who looks like they may need help. If a participant is struggling, note their bib number and what’s wrong. Call 911 in an emergency. For non-emergencies (like a runner needing transport), call the Race Director at (720) 799-7297.

Bike Escorts Low Priority

Details

Volunteers ride along course ahead of runners, ensure safety, carry water, first aid & radio/phone, communicate with first responders if needed. You must be 18 or older to volunteer for this task.

Volunteer must bring their own bike.

* Study the course map ahead of time . It’s highly suggested to ride the loop once before the race starts!
* Check in at the designated check-in location, pick up a volunteer shirt, and sign the waiver if needed.
* Wear your volunteer shirt. Add a laminated “Follow Me!” sign to the back of the shirt, which will be provided when you check in.
* Ride ahead of the lead runner/walker and monitor the course. Try to stay about 100 feet or a comfortable distance ahead of them so they can see you, but you are not in the way.
* Be careful after the 1st aid station, as there will be runners approaching the turn-around coming toward you until you go past the Aid Station #1 and turn down Hog Lane. Carry water, first aid, and a phone/radio always.
* Watch for hazards or participants in distress.
* Stop and assist if someone is struggling.
* Call 911 for emergencies.
* Call the Race Director at (720) 799-7297 for non-emergencies.
* Communicate with first responders when needed.
* Stay on course until the last participant has passed.

Volunteers help set up and manage the refreshment area, so finishers have a smooth, positive experience. You’ll arrange tables, organize snacks and drinks, keep supplies stocked, and make sure the area stays clean and uncluttered. Details

Volunteer will take bags from participants, provide a claim check, and return items to participants when claim check is presented

Volunteers manage the bag check area to give participants a safe and organized place to store belongings during the race. The goal is to keep items secure, easy to find, and ensure smooth drop-off and pick-up for participants.
• Check in at the designated check-in location, pick up a volunteer shirt, and sign the waiver if needed.
• Set up bag check tables and clearly mark the area before the race starts. There should be 1-2 canopies for bags.
• Check in participant bags by attaching the claim tag number to both the bag and the participant’s bib number
• Organize bags neatly by claim number to make pickup fast and easy
• Return bags only to participants with matching bib numbers
• If a participant has lost their bib or their claim check tag, ask for a description of the bag and something in the contents that can be verified before releasing the bag to them
• If there are problems, remain calm and do not allow the issue to escalate. Contact the campus police to resolve the bag ownership
• Keep the area secure and always monitored
• Handle lost-and-found items by setting them aside and notifying the Race Director
• Clean up the area and pack remaining supplies once all bags have been returned.

Course Sweep Low Priority

Details

The Course Sweep follows behind the final runners and walkers to make sure the course is clear and all participants are accounted for. This role is essential for signaling when it is safe to begin cleanup, removing parking barriers, and ensuring no participant is left behind.

• Check in at the designated check-in location, pick up a volunteer shirt, and sign the waiver if needed.
• Start immediately after the last runner/walker leaves the start line
• Stay behind all participants for the full course
• Monitor for any participants who may need assistance
• Call 911 for emergencies
• Call the Race Director at (720) 799-7297 for non-emergencies (transport, medical, etc.)
• Confirm when the final participant has crossed the finish line
• Notify barricade monitors that the last participant has arrived, and they may take down the barriers
• Notify the Race Director so the course and aid stations can be cleared and cleaned up after returning to the start/finish. Call 720-799-7297 if they can’t be easily located.

Pre-Race Refreshments Medium Priority

Pre-Race Refreshment volunteers set up and manage the food and drink area so participants are fueled and ready before the race begins. You’ll help create a welcoming environment at the start line by organizing supplies, keeping the tables stocked, and assisting participants as they arrive.

Volunteers set up medal display, remove medals from packaging, hang medals, present medals to recipients, etc.

• Attend pre-race training for how to read awards lists provided by the timing company, and how to present them to participants
• Check in at the designated check-in location, pick up a volunteer shirt, and sign the waiver if needed.
• Arrive early to pull medals and certificates from boxes and arrange them on tables to be ready for presentation
• Apply weights as needed and cover awards and certificates to protect from wind or precipitation
• Pull the medal and award certificate from their location and transfer to the stagehand during the awards ceremony when that award is called
• Upon declaration of official results availability, meet award winners at the awards table, determine their award, hand it to them, thank them for participating, and congratulate them on their finish
• Check off that the award has been presented
• At the conclusion of the event, organize and put the awards in envelopes and boxes to be returned to the staging area
• Provide the updated list of awards that have been presented to the Awards task lead, to ensure it gets to the race director for use in distributing any unclaimed awards

• Safety is paramount! Please exercise caution when entering and exiting the moving van, and use proper lifting techniques for large items when loading them into the van or trucks. Use two people if needed.
• Begin loading once the teardown is underway and items are ready
• Work with the logistics team to organize supplies before loading
• Carry tables, chairs, tents, signage, fencing, and other equipment to vehicles. Ensure Beasley Auditorium tables and chairs are kept separate for them to pick up. Pack items carefully to maximize space and prevent damage
• Follow instructions from the Race Director or logistics leads on vehicle assignments
• Double-check that all supplies are collected before leaving the site

Barricade Support Medium Priority

Details

Volunteers will setup and teardown course barricades the day-of the event with Race Director, barricade monitors, and volunteer coordinator. Must have Driver's License and be willing to ride in vehicle with race staff.

Meet with Edwin Gianini at the Foundation office. Get a yellow safety vest.
Go to the barricade point at the race site.
Load barricades, cones, and chairs for Barricade Monitors, if they have not already been loaded into the truck.  Check the supplies list and ensure the proper number of barricades, cones, and chairs are loaded
Follow the barricade map and deliver each barricade. Please do not block the road with them; the barricade monitors will use them to block the road at the appropriate time. Place them on a sidewalk or open area near the barricade point.
Manned (hard barricade) – requires a volunteer monitor.
Unmanned (soft barricade) – cones/tape, no volunteer needed.


Set up on October 4th (Shift 9:00 AM to 1:00 PM)

Walk/drive course to check and confirm barricade placement. The Barricade Support team will activate the soft barricades. Barricade monitors will activate the manned barricades.
Adjust for overnight movement/weather.
Drive barricade monitors out to their respective locations.
Provide each Barricade Monitor with: A course map. Detour instructions for their location. Contact info for race control

BARRICADE TEARDOWN PROCEDURES

Race Director confirms course is clear.
Barricade Support, Course Teardown, and Barricade Monitors begin collecting barricades starting from the finish line outward.
Collect cones, signs, and barricades and load into designated transport vehicles.
